The challenge

Twelve clinics each ran their own diary. Patients phoned during opening hours to book, double-bookings were routine, and no-shows were absorbing roughly 20% of available appointment slots with no reminder system in place.

A single availability model spanning practitioners, rooms, and equipment replaced twelve independent diaries.

Booking that respects clinical rules

Appointment types carry their own duration, preparation time, and practitioner qualification requirements, so invalid bookings cannot be made.

Reminders on the channel patients use

SMS and email reminders with one-tap rescheduling, because most no-shows were people who could not easily change an appointment.

Built for GDPR from the start

Data minimisation, retention policies, audit logging, and EU-only data residency were design constraints rather than a later compliance exercise.

The outcome

Reception staff moved from phone booking to patient care, and the group now opens new clinics on the platform in days rather than months.
