The challenge

Orders arrived by email, WhatsApp, and phone, then were transcribed by hand into a scheduling spreadsheet. Two coordinators spent most of their week on data entry, and allocation quality depended entirely on who was on shift.

What we did

Unified the intake channels

Email and messaging orders are parsed into structured jobs automatically, with a human review queue for anything ambiguous.

Encoded the allocation rules

We extracted the heuristics the best coordinator used — vehicle type, route density, driver hours — into an explicit, tunable rules engine.

Kept humans in the loop

The system proposes an allocation and a coordinator confirms it. Trust was earned before any step ran unsupervised.

Made exceptions visible

Rather than hiding edge cases, the dashboard surfaces them first, which is where coordinator attention is actually worth spending.

The outcome

Both coordinators moved into customer-facing account management. The operator has since expanded to two additional depots on the same system.
